Payroll Manager
Location: Nottingham 
(Managing Payroll, Expenses and Benefits)

This role requires both technical expertise with payroll systems and software (Cintra) and a deep understanding of payroll legislation, statutory deductions, and reporting requirements. Additionally, collaboration with HR and communication with employees and external bodies are critical aspects of this position.

Job Requirements

  • Responsible for accurate and timely monthly end to end payroll processing and pensions administration.
  • Responsible for benefits in kind and P11d’s
  • Maintain up to date and accurate employee records and data
  • Preparing payroll reports, reconciling payroll data and facilitating audits
  • Maintain a comprehensive knowledge of all relevant legislation relating to payroll and pensions service, including PAYE, National Insurance, maternity, paternity and adoption leave, and pensions.
  • Interpret new legislation and changes in regulations affecting the payroll and pensions functions and develop proposals for implementation.
  • Tax compliance, liaising with HMRC to ensure timely and accurate filing of payroll taxes and other related oblugations.
  • Developing and managing the payroll budget
  • Cintra knowledge advantageous

Required Skills and Experience:

  • Ideally Chartered Institute of Payroll Professionals (CIPP) qualified / membership.
  • Proven experience in payroll administration at a senior level and providing professional payroll advice to employees and managers.
  • Previously worked in a stand-alone payroll position and poses extensive experience in administering and using payroll systems.
  • Working knowledge of payroll legislation and practical experience in managing multiple payrolls.
  • Ability to deal tactfully and diplomatically and maintain confidentiality with internal and external stakeholders to deliver solutions.
  • Strong IT and numeracy skills, with experience in using Microsoft Word, Excel, PowerPoint and Outlook.
  • Personable with strong communication and relationship building capabilities across all levels of the business.
  • Practical and logical; able to solve problems quickly.
  • Experience in effectively managing your own priorities and meeting deadlines, in a fast-paced environment.
  • Willingness to work flexibly to support the overall aims of the team and changing priorities.
  • High level of attention to detail and accuracy

Key responsibilities

  • Payroll Processing: Managing the payroll for around 500 staff each month using Cintra software, ensuring all calculations and deductions (e.g., tax, pension contributions) are accurate.
  • Statutory Payments: Checking statutory payments such as SMP (Statutory Maternity Pay) and SPP (Statutory Paternity Pay) and generating detailed reports.
  • Staff Records: Maintaining employee records to ensure accurate payroll and HR records.
  • Legislation Compliance: Staying up to date with changes in payroll legislation and ensuring they are properly implemented in the payroll process.
  • RTI Submissions: Ensuring monthly payroll runs comply with Real Time Information (RTI) submissions to HMRC.
  • Expertise on Payroll Issues: Providing advice and expertise on payroll-related issues for both management and employees.
  • Report Writing: Creating reports, including gender pay gap reports and other ad-hoc reports, to ensure compliance and support decision-making.
  • Responding to Queries: Handling payroll queries from employees and external organizations promptly and knowledgeably.
  • Pension Scheme Management: Overseeing multiple pension schemes, ensuring changes are accurately reflected and schedules are maintained.
  • Attachment of Earnings Orders: Administering court orders for deductions (such as child support or fines) and ensuring correct payments are made.
  • Issuing Key Payroll Documents: Handling year-end documentation, including issuing P45’s, P60’s, and P11D’s (for benefits and expenses).
  • Compliance with Governing Bodies: Ensuring all forms and paperwork are submitted to relevant authorities in a timely manner.
  • HR Collaboration: Working closely with HR to support payroll processes, ensuring alignment between HR procedures and payroll requirements.
  • National Minimum Wage Compliance: Ensuring all employees are paid at least the National Minimum Wage.
  • Expenses Management: Processing and reviewing employee expenses on a monthly basis to ensure accuracy and compliance.
  • Benefits Management: Managing benefits such as healthcare, ensuring deductions are correctly reflected in payroll.
  • International Payroll (Malaysia): Liaising with the Malaysian payroll provider to ensure accurate and timely processing of payroll for Malaysian staff.
